Privacy Policy

UltraGMS is a garage management application used by automotive workshops to manage jobs, vehicle inspections, quality checks, customers, and billing. This policy explains what information the app collects, how it is used, and the choices you have. By using UltraGMS you agree to the practices described here.

Account information. When a garage account is created we collect your name, email address, phone number, and role (e.g. owner, admin, mechanic). Passwords are stored only as a one-way cryptographic hash.

Garage operational data. Information you enter while running the garage — customers and their contact details, vehicles (make, model, registration/plate), bookings, job cards, inspection and quality-check results, parts, quotations, invoices, and payments.

Photos. Photos you capture or upload for vehicle inspections, damage records, and quality checks. These are stored securely and associated with the relevant job.

Voice recordings. When you use the dictation feature, your speech is transcribed into text on your device by the operating system's speech-recognition service. The audio is not uploaded to or stored on our servers.

Device & usage data. Basic technical data needed to operate the service (e.g. app version, error logs). We do not use third-party advertising or tracking.

The app requests camera access to take job/inspection photos and to scan vehicle number plates, and microphone access to let you dictate inspection notes. These are used only for those features, only while you are using them, and never run in the background. You can decline or revoke these permissions in your device settings, though the related features will not work without them.

We use the information to provide and operate the garage management service: to authenticate users, record and track jobs through their lifecycle, store inspection and QC evidence, scan number plates, transcribe voice notes, generate quotations and invoices, and keep your account secure. We do not sell your personal information, and we do not use it for advertising.

We host the service and process certain data using Amazon Web Services (AWS) in the Asia Pacific (Mumbai) region:

• AWS (compute, database, and Amazon S3) for hosting and secure storage of your data and photos.
• Amazon Rekognition to read text from number-plate images you scan.

These providers process data on our behalf under their respective terms and are not permitted to use it for their own purposes.

We do not sell or rent your data. We share information only: (a) with the AWS processors above as needed to run the service; (b) when required by law or to protect rights and safety; or (c) as part of a business transfer (e.g. merger or acquisition), in which case we will notify you.

We retain your account and garage data for as long as your account is active. If you close your account or request deletion, we will delete or anonymise your personal data within a reasonable period, except where we must retain certain records (for example, invoices) to comply with legal or tax obligations.

All traffic between the app and our servers is encrypted in transit (HTTPS/TLS). Passwords are stored as salted hashes, photos are kept in a private storage bucket accessed only via short-lived signed links, and access is restricted by role. No system is perfectly secure, but we take reasonable measures to protect your data.

You may request access to, correction of, or deletion of your personal data, and you may withdraw camera/microphone permissions at any time via your device settings. To make a request, contact us at the address below.

UltraGMS is a business tool intended for garage staff and is not directed at children under 13, and we do not knowingly collect their personal information.

We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above and, where appropriate, communicated within the app.
